A Boutique Executive Retreat Designed Around Strategy, Connection and Destination Experience

​We recently supported a four-day leadership retreat for a European SaaS company bringing together 38 senior team members and department leads for a strategic offsite program in Dubrovnik, Croatia.
The client’s objective was to combine executive workshops and internal planning sessions with relaxed, high-quality destination experiences that would encourage stronger interpersonal connections outside of the office environment.
The program took place during the shoulder season, allowing for a more balanced pace, smoother logistics and a more exclusive overall experience throughout the destination.

​Client Brief
The client approached us looking for a reliable local DMC partner capable of coordinating the operational side of the retreat while ensuring a seamless delegate experience from arrival to departure.
The group required:

• accommodation coordination for multiple arrival schedules
• executive airport transfers
• meeting support and venue coordination
• curated dining experiences
• private island activities
• flexible operational support throughout the stay

As most attendees were visiting Dubrovnik for the first time, the client also wanted the program to introduce the destination in a refined and authentic way without creating an overly structured corporate atmosphere.

​Key Challenges
One of the main challenges involved managing multiple international arrivals within a relatively short timeframe while maintaining smooth guest flow and minimal waiting times at the airport and hotel check-ins.
In addition, the program combined business sessions with offsite experiences across different locations, requiring careful timing coordination between transfers, restaurant reservations, venue availability and evening activities.
The client also requested a degree of flexibility throughout the program, as workshop schedules and delegate preferences were expected to evolve during the retreat itself.

Our Approach
We acted as the local operational and destination support partner throughout the planning and execution phases of the retreat.
The program was designed around three core principles:

Instead of overloading the itinerary, the focus was placed on creating a balanced rhythm between strategy sessions, networking opportunities and relaxed Adriatic experiences.

Executive Welcome Evening
The retreat began with a private welcome dinner hosted at a historic terrace venue overlooking Dubrovnik’s Old Town and Adriatic coastline.
The evening was intentionally designed to feel relaxed and social rather than highly formal, allowing delegates to reconnect in a more informal setting following international arrivals.
A Mediterranean-inspired menu paired with regional wines introduced guests to the local gastronomy while maintaining an executive-level dining atmosphere.

​Island Experience & Networking Day
One of the central moments of the retreat was a full-day private island experience designed around networking and informal team interaction.
The program included:

• private boat transfers
• curated island exploration
• relaxed seaside lunch experience
• optional swimming and free time
• sunset return towards Dubrovnik

Particular attention was given to timing and pacing in order to avoid the feeling of a heavily scheduled corporate activity.

Business sessions were coordinated in collaboration with the hotel’s meeting infrastructure, including room setup management, timing coordination and ongoing communication with venue teams.
Evening programs focused on smaller-scale dining experiences at carefully selected local restaurants known for atmosphere, service consistency and regional cuisine.
Rather than organizing large formal gala dinners, the client preferred intimate executive-style dinners that encouraged meaningful interaction between participants.
